Developed for Gutherys Coachlines, Fully Booked is a complete booking, scheduling and management cloud application for bus hire companies — with integration to Xero for easy invoicing.

I’ve actually talked about this application before. From its initial vision and ideation through to its development challenges and final release.

This post is a shameless plug of the end result!

Quick & Easy Bookings

Fully Booked enables the Operations team to make bookings quickly and then allocate the legs of a booking to any number of vehicles and drivers (by drag and drop). It also let’s the team see what other bookings are scheduled and the passenger count on the vehicles.

Automated Quotes

Bookings can easily be turned into automated quotes and emailed to the client (with the call to action being a single click acceptance). The quote can either be based on:

  • an automatic calculation of kilometres or
  • a customisable kilometre rate or
  • generated manually.

Accepted quotes initiate notifications to the Operations Manager. These quotes can be automatically sent through to Xero, creating draft invoices.

Full Visibility

Fully Booked also works around the reality that vehicles may be out of circulation for maintenance and servicing at times — so these dates are shown in the schedule. Annual leave for drivers can also be shown, allowing the team to avoid booking vehicles and drivers who are unavailable.

The Driver Portal

Each driver has their own unique login to the portal and only sees the trips they are allocated to. This portal holds all the details on the booking — including notes on the customer or trip as required. The portal is also iPad optimised, so drivers can stay up-to-date with any last minute changes via mobile devices.

  • Trips can have multiple legs and span multiple days
  • Automatic calculation of kilometres between way points
  • Customisable day and/or kilometre rates
  • Viewing of legs and estimated distances in Google Maps
  • Quotes automatically generating prices on preset rates (or enter any number)
  • All jobs are visually presented in the drag and drop schedule interface
  • Some vehicle data can be accessed and tracked in one place
  • Integration with iBright Telematics which automatically updates kilometres of vehicles for servicing reminders etc
